We are seeking a detail-oriented and experienced Payroll Coordinator to join our HR team. The Payroll Coordinator will be responsible for ensuring accurate and timely processing of payroll for all employees in the US & Canada, adhering to company policies and government regulations.
Key Responsibilities:
- Process payroll for employees on a bi-weekly/monthly basis using ADP modules.
- Review and verify timesheets and attendance records for accuracy.
- Calculate wages, deductions, commissions, and other earnings.
- Ensure compliance with federal, state, and local payroll tax regulations.
- Make sure benefits, garnishments and other deductions are accurate.
- Review Vacation Time is accurate and aligns with the company’s policy.
- Respond to employee inquiries regarding payroll matters.
- Prepare and distribute payroll reports as needed.
- Account reconciliation experience.
- Collaborate with HR and finance teams to resolve payroll discrepancies.
- Maintain payroll records and ensure data integrity and confidentiality.
- Assist with year-end payroll activities and tax reporting.
- Work Comp Audits.
- U.S. Department of Labor Audits on a monthly basis.
- Support in payroll related projects like the switch to a global payroll solution (managed service).
- Stay updated on changes in payroll regulations and best practices.
- Challenge the status quo and work on continuous enhancements.
Qualifications:
- Bachelor's degree in accounting, Finance, Business Administration, or a related field preferred.
- 3+ years of proven experience in Payroll or in a similar role.
- Strong knowledge of payroll processes and regulations.
- Proficiency in using payroll software/systems (ADP modules is a plus).
- Excellent attention to detail and accuracy.
- Strong analytical and problem-solving skills.
- Proficiency with Microsoft Office and especially Excel
- Ability to maintain confidentiality and handle sensitive information.
- Effective communication skills, both verbal and written.
- Ability to work independently and as part of a team.
Preferred Qualifications:
- Certification (e.g., CPP) or coursework in payroll administration.
- Experience with multi-state payroll and compliance.
- Fluent English / Spanish an added plus
